UNIVERSITY OF OKLAHOMA Position Description -Norman Campus I. TITLE: Electronic Research Administration (ERA) Coordinator, Office of Proposal Services II. FUNCTION: Responsible for coordination of internal electronic research information resources, including the World Wide Web, mainframe databases, and for providing instruction and guidance to the university community in the use of internal and external electronic research administration services (including federal ERA systems). Assists faculty, staff, and graduate students in all disciplines in developing, preparing, editing, budgeting and processing proposals for externally funded research, training and creative activities in all disciplines. III. REPRESENTATIVE DUTIES: 1. Coordinates the continued development and maintenance of a World Wide Web site for the Office of Research Administration. 2. Provides guidance to staff in the preparation of electronic research administration resources. 3. Directs and conducts seminars, workshops and training/information sessions for the university community related to the use of internal and external electronic research administration services. 4. Assists in the development and implementation of pre-award/post-award electronic database functions and coordinates efforts with the Sponsored Research Systems Administrator. 5. Analyzes and conducts systematic review of research proposal and funding data. 6. Arranges periodic video teleconferences for faculty and staff interaction with external funding agencies. 7. Assists the Assistant Director of the Office of Research Administration in developing electronic administrative policies. 8. Keeps informed of internal and external policies for funded research programs and advances in electronic research administration. 9. Assists in developing proposals by working with principal investigators to interpret and explain program information and to suggest approaches for writing the proposal and strategies for submittal. 10. Assists faculty in the development of proposals, prepares proposal budgets, and completes corresponding government forms, certifications and assurances. Obtains required University authorization for cost-sharing and approval for human subjects, DNA, radioactive and toxic substances, and animal use. 11. Coordinates printing and submission of proposals, statements-of-intent and various reports related to externally funded projects. 12. Keeps informed on federal, state, industrial and foundation support available to university faculty and staff through publications, communications with agency officials, and attendance at meeting and seminars at various levels. 13. Provides responsive customer service. 14. Performs other duties as assigned. IV. SUPERVISION OF OTHERS: Provides guidance and supervision to the Office of Research Administration personnel in the development of electronic research administration resources. V. SUPERVISION RECEIVED: Receives general supervision from the Assistant Director, Office of Research Administration. VI. MINIMUM QUALIFICATIONS: Knowledge: Education/Training: Bachelor's Degree Preferred Experience: Demonstrated experience in electronic research administration or commensurate experience in work demonstrating increasing levels of responsibility and ability to work independently Type: Internet skills such as HTML, FTP, and electronic mail interaction Electronic Database Management Skills: Effective oral and written communication Understanding of Microsoft Office Applications; familiarity with spreadsheets; experience with Paradox and Access preferred Abilities: Ability to work with professional personnel from diverse academic disciplines and backgrounds Ability to organize and present information relevant to availability and use of electronic processes in research administration Ability to work well under pressure, simultaneously handling a variety of projects, and prioritizing tasks to meet deadlines Ability to develop detailed multi-year budgets in accordance with agency guidelines and University fiscal policies VII. PREFERRED QUALIFICATIONS Understanding of emerging Federal Electronic Research Administration Systems General knowledge of optical imaging processes Familiar with grant development processes and federal regulations Office management and staff supervision VIII.
