Re: Funding Messages Rusty Okoniewski 29 Apr 1999 15:30 EST

The following is a sample of how I disseminate funding opportunity
information to our faculty at the University of Florida-Institute of Food
and Agricultural Sciences in Gainesville, FL.

I generally try to target specific faculty when the topic area is very
limited or very specific. In broader subject areas, I target entire
departments. I generally use the "send a link" feature of MS-Internet
Explorer to send the announcements to our faculty. I try to make the
subject line as descriptive as possible to catch the interest of the
faculty. (MS Explorer will automatically create a subject line...but I
often change it to be more "eye-catching" to our faculty)

I use the same basic format each time so that faculty know where to find the
information they will need.

Generally, the first thing I note is the Due Date(s).

If there are special conditions I note them next. (i.e.., limited number of
applications/institution, required collaborations, eligibility issues,
required electronic submission, Pre-proposals, mandatory pre-proposal
meetings, etc.)

I then cut and paste an abstract or the first few paragraphs of the
solicitation of the announcement.

MS-Internet Explorer will then automatically place the URL in the document.
Most E-mail handling software will make this a live "link" to the web site
automatically. (MS-Internet Explorer will also add a "icon" type link as an
attachment to the E-mail...but since some of our faculty (especially at
remote sites) do not have the most sophisticated hardware, software, and
communication devices I delete the icon attachment and rely on the URL link
in the text.)

Following the URL, I place a "Signature" which has general information for
our faculty on whom they should contact in our office for assistance in
processing their proposal.

Most of our faculty like this system. I did have to adjust how I addressed
the memo (i.e.., using the "BCC" line for the addresses of the departments
and individuals as the document was far too lengthy if, in the case of a
broad distribution, hundreds of individual names appeared on each
announcement.) Otherwise, it has worked very well.

I also send it to our Webmaster, who will place it, along with other
deadlines, on a link from our home page. Faculty often comment that they
read and enjoy my announcements! And that is the bottom line!

For your information, I have "cut and pasted" a sample below. I hope you
find it to be of interest.

TO: Selected IFAS Faculty
CC: Sponsored Programs Staff
Date: (Today's Date)
BCC: (Listing of all Faculty to whom I am sending this
announcement)
SUBJECT: Searle Scholars Program - How to Apply
********************************************************
Due Date: Letter of Intent to IFAS - 1 Sep 1999
 Full proposal - 27 Sep 1999 (limited to two/institution)

The Searle Scholars Program
Applications are invited from selected universities and research
institutions. (UF is a selected institution!) No more than two applications
will be accepted from any one institution. Individuals considering
submitting applications should consult with their Provost, Graduate Dean, or
similarly situated academic officer to determine how selections will be made
within their institutions, if there are more than two persons wishing to
submit applications. (We at UF will use the Letter of Intent to help
determine interest and if necessary, determine the two applicants.) On-line
application forms and instructions for the year 2000 awards will be
available to invited institutions about June 1, 1999, and potential
applicants should obtain these forms from the appropriate administrative
office at their institution (IFAS Sponsored Programs). Applications are to
be submitted by the institution and not by individual candidates.
Applications for awards to be activated on July 1, 2000 must be received no
later than Monday, September 27, 1999.

Eligibility

Applicants for year 2000 awards will be expected to be pursuing independent
research careers in biochemistry, cell biology, genetics, immunology,
neuroscience, pharmacology, and related areas in chemistry, medicine, and
the biological sciences. Candidates should have begun or will begin their
first appointment at the assistant professor level on or after July 1, 1998
and therefore be in their first or second year. This appointment must be a
tenure-track position, and must be in an academic department of an invited,
degree-granting institution. Potential applicants whose institutions do not
have tenure-track appointments should consult with the Scientific Director
of the Program prior to preparing an application.

Awards

Normally 15 grants of $60,000 per year for three years will be made; funding
for the second and third years will be contingent upon the submission of
acceptable progress reports. The awards will be made to tax-exempt
institutions described in Section 501 (c) (3) of the Internal Revenue Code,
and will be designated for the support of the research programs described in
the applications.
