SPONSORED PROGRAMS SPECIALIST
This is a professional position with a salary range of $21,900-$33,900
and full benefits. Starting salary depends on demonstrated
qualifications and experience. This position requires 1-3 years
experience in sponsored programs administration, or related
administrative experience, and a minimum of a bachelor's degree. The
position is tailored for career advancement into Assistant or Associate
Director roles. Preferred applicants will have pre- and post-award
experience and a master's degree. The position requires decision making
within the sponsored programs administrative system and policy and
procedural recommendations.
The successful candidate reports to the Director, Office of Sponsored
Programs and workS with a staff that includes the Director, Sponsored
Programs Development Coordinator, Information Manager, grant accountants
and student assistants. Daily interactions will be common with dean's
offices, institutes and centers, academic and support units, and project
directors and their staffs.
Qualifications:
In priority, the successful candidate will have:
1. strong organizational and presentation skills;
2. knowledge of grant budget development and accounting procedures for
awards;
3. strong interpersonal skills in order to interact with faculty and
staff members and graduate students on a daily basis concerning the
status of proposals and post-award issues;
4. proficiency with electronic sponsored programs administration to
include:
a. software programs (PC or Power Macintosh) for the proposals and
awards databases (400 proposals and 350 awards each fiscal year); and be
able to increase computer knowledge on the job;
b. Demonstrated knowledge of on-line federal agency guidelines, forms
and funding sources databases (SPIN preferred);
c. sufficient knowledge of computer software programs (Word 6.0.1,
WordPerfect 6.1, Lotus 1-2-3, Approach 3.0, Excel 5.0, etc.), to assist
with quarterly and annual reports and assist with data for the
administration and faculty;
5. a working knowledge of OMB Circulars and Internet links to provide
regulations and compliance decisions;
6. knowledge of human subjects of research and conflict of interest
regulations and procedures to assist with coordination of these programs;
7. experience with the development of grant budgets and charts of
accounts
8. experience discussing proposals and negotiating awards with faculty
and staff members, and program officers;
In Priority, responsibilities include:
1. management of the pre- and post-award internal routing process to
include supervision of all incoming and outgoing correspondence;
2. preparation of charts of accounts of awards and interaction with grant
accountants;
3. maintaining the sponsored programs database of proposals and awards;
4. assisting with providing information about compliance requirements;
5. knowledge of federal human subjects of research regulations and
university procedures to assist with coordination of the protocols for
human subjects of research and conflict of interest programs, including
maintaining databases;
6. assisting with assembling reports and dissemination of information to
the grant community;
7. presenting at basic and advanced grant and contract workshops, and
other events as required;
8. assisting the Director in negotiating awards by providing coordination
between project directors and Sponsored Programs, and by discussing the
particulars of awards with program officers;
9. completing grant application kits as required.
Western Kentucky University is a comprehensive, regional university
(Carnegie IIA) with over 100 graduate and undergraduate programs. WKU
enrolls 15,000 students and has a regular faculty of 550 and a support
staff of 950.
Sponsored programs awards have increased steadily over each of the past
five years, including a 22% increase this year to $13,300,000 and
$26,000,000 in proposals. Persistent support from administration has
implemented progressive incentive programs for grant writing. Research
proposals and awards have increased dramatically over the past two years.
Academic and support units submit about $23,000,000 in proposals and
receive over $10,000,000 in awards each year. In addition, several
centers for instruction and public service submit nearly 100 proposals a
year and receive about $3,000,000 in awards.
