Staffing Ann R. Stevens 30 Nov 1994 14:26 EST

Here we go again! I have been requested to determine the staffing of
other university offices of sponsored research; first I will share
with you what my office currently handles, and then I would like to
hear from others how we compare.

l.  Last fiscal year, we had over $118 million in sponsored research;
about 76% of that was from the feds; $13.5 million from industry,
mainly for clinical trials.

2. We handle: program information including keeping up with about
3000 programs (hard copy) and p-info database; also we're the
gatekeepers for BEST America. We do manual and computerized searches
to identify sponsors and put out a bimonthly newsletter.

3, We review and process proposals to all external sponsors; that is
we work for the entire campus, not just the medical school which
brings in about 70% of total funding. We also copy and mail all
proposals.

4. We negotiate all clinical trial and other types of agreements,
including those horrible MTAs;

5. We assign account numbers and distribute the Notices of Award
Acceptance for every award to four different groups; we include the
award document (e.g., the contract); mucho copying.

6. We thus far have established all of our own databases and maintain
these; for ex. proposal/award databases.

7. We do all sorts of reports, and distribute monthly to about l00
persons a proposal report and a separate award report. These give
info on every department/school, names of faculty who submitted
proposals, received awards, etc.

8. We receive and submit all approvals for compliance on behalf of
faculty; reminders are sent periodically if we haven't received the
approval letters.

9. We handle all other types of approvals.

10. And we give workshops for faculty and staff. These are being
offered every semester.

I can't think of any other major function, but we are very overworked.

Currently I have 12 staff, excluding myself. 8 are professional; 3
support staff, and 1 who was just hired, finally, as data programmer.

11. Last year we processed 1455 awards and 1683 proposals.

I hope this gives enough information for some of you to give me
comparative numbers on your staff. Thanks alot. xxxxxx@osp.emory.eduAnn R.
