Personnel Support in Small Offices Barbara Gray 16 Nov 1994 18:04 EST
The College of Charleston has approx. 10,000 undergrad students, 1,500 graduate students, and 360 roster faculty. Last year, we received $2.44 million in new grants and contracts, a 79% increase over the previous year. In the first quarter of the current year, we are already at 55% of last year's level. My office has two positions--mine (director) and a secretary. We are absolutely overwhelmed! I am conducting a quick and dirty survey in hopes of amassing some data to support my desperate plea to the higher administration for a new, fairly high-level grants administrator position. If your institution is in the $1.0 to $5.0 million range, would you please send me some information about your staffing pattern in your sponsored programs office? Specifically, I would like: Name of Institution Number of Undergraduate Students Number of Graduate Students Number of Roster Faculty Dollar volume of sponsored programs last fiscal year Types of sponsored programs positions (including grad and undergrad students) Number of persons in each type of position (FTEs would be great) A ballpark salary for each position (a $5,000 incremental range is okay) Any significant differences in the services your office provides from the listing below (which happens to be my list of responsibilities). Services offered by the College of Charleston Sponsored Programs Office include: . Full pre-award assistance including helping PIs conceptualize and plan projects; sponsor identification through newsletters, SPIN, directories, and other sources; bi-monthly newsletter production; assistance in developing proposals and budgets; and proposal review and approval . Post-award administration, including award acceptance; account authorization; issuance of all subcontracts; limited assistance in project implementation; and trouble-shooting (but excluding financial accounting, billing, and reporting, which is handled by the controller's office) . Providing training on an as-needed basis to faculty, department chairs, and deans in grantsmanship and grant administration . Development and implementation of all policies and procedures for grants administration at the institution . Maintenance of grant tracking information systems and production of annual reports and special reports as requested by department chairs, deans, and administration . Staffing of IRB and IACUC . Ensuring compliance with other regulations, including Conflict of Interest, Misconduct, and Retention and Access to Data Any help will be greatly appreciated! You may respond directly to me if you wish at xxxxxx@cofc.edu. I will summarize results in a couple of weeks and post to the list. P.S. If I'm reinventing the wheel, please let me know by telling me who already has this kind of information. Barbara H.
