Analyze spending data and integrate changes as needed to meet programmatic goals. Duties include updating daily transactions; reconciling ledgers, preparing complex projections, act as advisor to PI regarding administration. This position is responsible for administrative management of a fast paced research laboratory including supervision of administrative part time, student, and volunteer employees, materials acquisition, new and used equipment purchases, computer-related materials, and management of service contracts for the research lab. Interface with vendors on a regular basis for discounts, quotes, acting as key contact for all related purchasing problems and following through to resolution, approval of invoices, tracking returns and inventory. Coordinate and submit internal and external forms for Material Transfer Agreements, Animal Subjects, and Controlled Substance purchasing. Personnel duties include managing logistics of international personnel recruitment and classification, tracking vacation and sick benefits, distribution and collection of time reports, approving and updating personnel records and obtaining appropriate visa information for foreign visitors. Position independently interacts with SDSU Foundation and University staff, high-level individuals in academia and the private sector. Using in depth knowledge of project management, individual must negotiate, analyze, interpret and execute complex high level conferences, meeting and exceeding the needs of world renowned scientists and speakers. Reporting to the PI, incumbent is also responsible for design, operation and management of regional and local meetings. In collaboration with SDSU development office, plan and supervise events and programs to provide recognition, cultivation, and stewardship of potential donors and sponsors for the Heart Center. Seek opportunities to link the Heart Center with other entities including universities, government and industry. Minimum Qualifications: Equivalent to a bachelor's degree in accounting, administration, biological sciences, management, or communications plus six years of progressively responsible experience in technical or administrative assignments. Experience in a research setting and in grants administration and/or accounts management. The ability to report to work on time; follow directions from a supervisor; interact effectively with co-workers; understand and follow posted work rules and procedures; accept constructive criticism. Advanced ability to work effectively in a diverse environment. Demonstrated judgment and skill in negotiation techniques to work effectively with students, university officials, vendors and outside high level executives. Extensive and in depth knowledge to coordinate and organize, with proven ability to perform tasks with stringent attention to detail and accuracy, and to prioritize tasks in a demanding environment with multiple interruptions and frequently changing deadlines. Demonstrated expertise in successfully coordinating and executing the logistics of programs, special events, meetings, and receptions. Demonstrated in depth ability to provide management and guidance to staff, student assistants and/or volunteers to accomplish established goals and objectives while adhering to established procedures and guidelines. Proven expertise in using a computerized system with various office software to include database, desktop publishing, spreadsheets, internet, and word processing systems.
