The Academy of Natural Sciences of Philadelphia has an immediate opening for
a Science Administrator. The Science Administrator is a senior manager,
responsible for the day-to-day operations of the Science Centers (Systematic
Biology and Ecological Research) and implementation of the initiatives and
priorities set by the Science Center Directors. This is a regular,
full-time, exempt position.
Responsibilities:
* Works with Accounting Office to guide and assist senior staff in
preparation and submission of applications for funding, ensuring compliance
with agency and institution policies;
* Responsible for post-award grant and contract administration of
sponsored projects, including post-award revisions, monitoring spending and
reporting, preparation of subcontracts and close-out documentation;
* Works with Accounting Office to maintains up-to-date knowledge and
expertise in federal, state, and other agency regulations and policies;
* Assist Science Center Directors in general administration of the Centers:
o Construct and administer annual Center operating budgets;
o Supervise other Science Administration staff;
o Responsible for main office operations, including equipment
needs, purchase orders, invoices, approval of time sheets, etc.;
* Coordinate with Science Directors to comply with administrative
requirements regarding personnel issues, assist in identifying and resolving
personnel issues;
* Coordinate amongst Science Directors, scientific staff, IT and
Building Operations to provide best feasible resolutions to facility issues;
* Administer Academys J1 visa program; coordinate with Human Resources
to address other visa issues;
* Track status of permits for import/export of scientific specimens;
assure that reporting is complete and apply for permit renewals as needed.
Qualifications:
* Bachelors degree in Business Administration, Finance, Accounting or
related field (or equivalent combination of education and experience)
required; education and/or interest in the natural sciences desirable;
* Knowledge ofand 2 years experience withpre-award and post-award
research; administration in an academic (or non-profit) setting with the
ability to interpret and understand federal and non-federal regulations and
operations of sponsored research;
* Working knowledge of office computer applications, especially
spreadsheet functionality needed for creating basic financial templates;
* interpersonal skills suitable for maintaining effective working
relationships with all scientific and other Academy staff;
* excellent verbal and written communication skills;
* ability to flexibly respond to competing demands in a fast-paced work
environment.
