There are a hundred plus ways of dealing with this issue, and the
solution you come up with for your institution will depend on (among
many other possibilities):
1) Your institutiuonal culture
2) What IT support you have (is it in your office or do you have to
contract out)
3) What servers, if any, you have in your office
4) What security, if any (hopefully a lot!), you have in your office
5) Is this the only IT problem you have or part of a larger system
6) How much $$ and FTE you have to address the issue.
The UO has a home grown web based system that allows the users to
upload/download their XFD, PDF and other documents. The files are
linked in a database and stored on a file server. Only the PI and those
associated with the proposal + authorized staff in the SRO office have
access to the files.
