In response to the query about organizing files:
For paper files, my system is a carryover from when I was a foundations relations person in an institutional advancement office. I have a folder for each faculty member (for all those communications about compliance, etc.) and a folder for each funding agency.
The agency folders are actually a series of folders for each agency. For example, NSF (general folder with announcements, procedural changes), NSF Smith 2000, NSF Jones 2001, NSF Brown 2001, NSF Johnson 2002, etc. The folders with names and dates contain paper copies of the proposal and reports.
I also have a master proposals file for each year, in which there is a paper copy of every proposal submitted that year. This means that proposals are in two places (proposals file and agency file). I never weed the proposals file - it provides an accurate picture of all proposals submitted in a given year, whether funded or not. I do weed the agency files, discarding rejected proposals and discarding funded proposals that are five or more years old, unless there's a reason to keep them.
