Thanks for that explanation Amy. I knew it had something to do with the way the fields/files/forms were originally created and the properties attached to it, but had never delved into the specifics ... because we always went the "Saving each year as a separate file is a quicker, easier fix" route. If you make an electronic copy of the form, you also copy the names. When you add new information into the copied form, that information is duplicated in all fields with the same name. This a really useful function if you don't want to have to type the name of the institution or PI over and over on the forms, but it does not work well for budgets, for obvious reasons. If you want to have one continuous document with multiple budget years, you generally need to open the form fields and give different names to each field for each budget year to ensure that you don't keep overwriting the previous year's info. This really only makes sense if you know you're going to use the same forms again for other proposals, as the initial set up is very time consuming. Saving each year as a separate file is a quicker, easier fix. ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ Amy Hibbard Assistant Director Office of Research & Sponsored Programs Cal Poly Pomona 3801 West Temple Pomona, CA 91768 (909) 869-6929 Voice (909) 869-2993 Fax xxxxxx@csupomona.edu "Opportunity is missed by most people because it is dressed in overalls and looks like work." We get around it by either doing multiples files (pita) or by scanning into a .pdf and then inserting the scan as the 2-3 pages (pita). I created two files for years one and two, and a third file for the two summary pages. Input different numbers in each and saved them, when I reopened the files the numbers remained the same. FYI, merely 'playing' with Acrobat I figured out how to 'extract' and 'insert' pages. When Pam finishes the budget (a file each for years one and two and the summary) we'll 'insert' the year two and summary files behind the last page of the year one file, thereby having only one file to submit with the proposal.
