We looked at several options before settling on our current system. The software we purchased is called LiquidOffice. This is a process driven form/ software. The beauty of this form is that it mirrors the current paper process. We determined that it was much easier for the campus to learn an automated system that mirrors the current paper system rather than introduce a new form in addition to a new automated system. Additionally, if the automated system were to ever fail, we would be able to immediately switch to the paper system. The LiquidOffice software utilizes open platform technology, meaning that the entire campus was not required to purchase or install any new software. It uses common web browsers and adobe reader. The form we used in the past required users to use Microsoft Excel. They would fill out the form, print it, sign it, and send it along the way for all co-pi's to sign, all departments to sign and all colleges to sign. All before coming to the Vice Provost for Research then to my office. This could take days. With the automated system the form routes from the PI to all the co-pi's (all at once) to all the departments (all at once) then to each college one by one. A form in our new system could literally route through the university in a matter of minutes. There are a lot more details about our system that I haven't discussed but hopefully you get the picture. This is only for internal approval and record keeping, not meant to be specifically linked to an electronic grant submission process (though it eventually could be). In this process, we envision PI's completing an online form, uploading their proposal documents, which will then be automatically routed to chairs, deans, and other administrative staff on campus who need to review proposals prior to submission. This process will not preclude our office assisting PIs in preparing their documents; we're simply looking for a way to speed the approval process and become more efficient. For those of you have or are using some electronic system of this type, what are the good/bad points of doing so? For those of you who have specifically chosen not to use this type of internal routing system, will you share with me some of the reasons why?
