Whitehead Institute for Biomedical Research Administrative Lab Manager Exercising a high degree of autonomy and discretion, the Administrative Lab Manager provides administrative support and financial lab management to a faculty member and his research lab. Responsibilities include preparing budgets (both fiscal and grant budgets), reviewing accounts, tracking all spending and projecting spending patterns. The Administrative Lab Manager also administers budgets to ensure that sponsor regulations and Institute guidelines are adhered to, internal consistency is maintained, and lab budget plan and expenditures are not exceeding available funding. The Administrative Lab Manager works closely with the Lab Head to modify lab budget plans as appropriate, according to increases or decreases in funding. The Administrative Lab Manager assists the faculty member and other lab members in the preparation and assembly of all non-scientific portions of grant and fellowship applications, processing and proofreading technical reports, grant proposals, and manuscripts. Additional responsibilities include maintaining the Lab Head's calendar, making travel arrangements, screening callers and visitors, reading and responding to mail, and acting as information source on established Institute, sponsor, and laboratory policies and procedures. The Administrative Lab Manager will plan and coordinate a variety of meetings, seminars and conferences, prepare and disseminate course material, advise students of academic policies and procedures, and handle highly confidential material such as HR records, recommendations and personal references. Other responsibilities include processing check requests, purchasing supplies and equipment, reviewing effort reports, and preparing personnel paperwork, such as requisitions, academic appointments, redistributions, and terminations. A bachelor's degree or equivalent and a minimum of 2 to 5+ years of directly related administrative experience including budget management required. Grants administration experience is highly desirable. Must be skilled in the use of spreadsheet and word processing applications. Excellent interpersonal, organizational and office skills and excellent verbal and written communication skills required. Must be a problem solver willing to take the initiative to provide smooth, well-organized administrative support and work collegially with other labs and administrative departments. Must be attentive to details and deadlines. Must prioritize and juggle multiple tasks at once and have the ability to work independently and with only general direction.
