We use an access database which we designed - it is quite complex
because I want to know exactly what part of an award is for the current
fiscal year. Therefore our database computes this based on the Fiscal
year queried. I have had a similar database before and it works well.
We can tell you what proposals have been submitted in a given period,
what was awarded in a given period, what external funding is applied to
a given period and how much we have in curent grant awards in total. We
can query by type of funding agent, federal, state, private, local;
principal investigator, department, etc. We can also estimate how much
IDC will be collected in a given period. Access seems to handle our
needs well.

I am looking into setting up a database of awards that my university

receiving. It should have the fields for begin and end date, amount,
awarding agency, PI and accountant name, the dates when various
reports
are due, etc. Once all the awards are entered, we will be able to
query
the DB to see which reports are due and who is responsible. How does
your university track federal and non-federal awards? How do you make
sure that all the reports are submitted on time? Can you recommend a
software product? Currently we are tracking this information in Excel
spreadsheet and realized that this can be improved.
