chart of accounts Colleen Corcoran 25 May 2005 09:26 EST
I'm sorry it has taken me so long to get back to those who wanted more information on our chart of accounts. We have 7 segments in our COA. The first is Fund which refers to whether the funds are restricted or unrestricted. The next segment is Location which is a high level classification designating one of our research centers. The next segment is NACUBO which we do not use since we are not an educational institution. We copied our COA from an educational institution and it was easier to leave it in and set a default, rather than remove it and try to reprogram everything. The next segment is Sponsor, which catches it at a mid-level such as NSF, DHHS, etc. Through this segment we can roll up to federal, non-federal, state, business and industry, etc. The next segment is GL classification. There is a complex hierarchy behind the GL class. The next segment is Award which ties back to a specific grant. The final segment is Department which is further breakdown of location, it is a specific department within one of our research centers. Despite having 7 segments, our payables people don't have to enter in all of this information. They enter in the award number, an expenditure type and the department. Through autoaccounting, the system populates the fund and sponsor based on the award, the department and location based on the department and GL classification based on the expenditure type. I have definitely oversimplified things, but you can imagine the tremendous flexibility we have in gathering data. We don't even take full advantage of what we could do.
