Job Opportunity at Tufts-New England Medical Center Title: Research Financial Administrator Department: Institute for Clinical Research and Health Policy Studies (ICRHPS) Tufts-New England Medical Center Reports to: Director of Administration and Finance _______________________________________________________________ General Overview: This position assists the Director of Administration & Finance, the Executive Director and researchers of the Institute of Clinical Research and Health Policy Studies (ICRHPS) and its subprograms with management of the research enterprise and infrastructure. He or she will work in concert with other senior research administrators to provide complete financial management, forecasting, and budgetary planning for the Institute. This person will develop and maintain standard financial oversight (a/k/a shadow) systems for all users in ICRHPS to manage 100+ cost centers on a day-to-day basis with links to overall reporting and planning reports. Additionally, this position will be responsible for managing the day-to-day finances of hospital commitments and the medical group budget. This person will provide formal monthly financial status reports to the Director of Administration & Finance on the health of the Institute. He or she will also be expected to provide up-to-the-minute reports on pending proposals, funded proposals and current financial status as needed. ICRHPS consists of 28 faculty research investigators and 70+ research staff. This position may also manage a subset of the Institute's research investigators' activities. The Institute submits 60+ funding proposals annually to the federal government (NIH, AHRQ, CDC), foundations, corporations, and research institutes. These proposals are both grants and contracts and have ranged from small/short-term projects (~$15,000) to very large and complex multi-year, multi-center clinical trials (~$35 million). Principal Duties and Responsibilities: 1. Develop and implement standardized financial oversight systems for all ICRHPS research administration staff to use, including links to overall status reports by PI, Research Center, and Institute. 2. Meets monthly, or more often, with ICRHPS research administration staff to assess financial reports and status of all cost centers that they manage and to link them into financial reports. 3. Formally meets monthly with Director of Administration & Finance to review overall financial status of individual PI's, Research Centers, and the Institute as a whole. Makes recommendations for reallocation of resources. 4. Manages hospital commitments and Pratt Medical Group cost centers. Responsible for doing and submitting variance reports, Pratt research invoice, and annual budget requests. Ensures that correct salary distributions, non-personnel expenses, and the like are charged to these cost centers. 5. Will be responsible for working with newly recruited faculty to transfer grants and contracts from previous institution and assisting in setting up management infrastructure for new recruits. 6. Tracks Institute-wide resources usage including space allocations, equipment inventory and purchasing, and office supply ordering. 7. Provides information as needed to faculty members, hospital/school colleagues, or agencies on collaborative proposals and funded projects. 8. Meets regularly with Director of Administration & Finance to discuss issues, submit reports, and receive assignments. Meets with administrative support team for Institute to share information. 9. Provides support as needed to the ICRHPS research administration infrastructure during grant proposal preparation periods, as well as coverage during staff absence and periods of multiple deadlines. Skills and Abilities: 1. BS/BA degree and five+ years research administration and post-award research finance experience required. 2. Advanced facility with MS Office software, including Excel, Access, Powerpoint, and Word, including the ability to develop and link spreadsheets, databases, and reports. 3. Experience with and in-depth knowledge of research accounting principles and financial reporting including Circulars A-110, A-122 and A-133. 4. Excellent organizational skills and superb attention to detail. 5. Excellent written and verbal communication skills. 6. Customer service orientation and the ability to work in a team setting. 7. Must be able to work in deadline situations while maintaining a sense of humor and fun. 8. Must be flexible with schedule. Occasional late nights and weekends required in meeting deadlines.
