Thanks to all of you who have weighed with responses to my question.  We have
always reported co-PIs on proposals and awards, but the issue has been how to
sub-divide both in such a way that multiple departments can take credit for
having submitted a proposal and having received an award.  When proposals are
submitted, it can be a bear to break down what each person will be doing and
then distribute the associated costs with activities.  There just isn't
enough time to be able to do this with any great degree of accuracy, but it
may be what we're forced to do eventually.

Bill, to try to answer how we handle reporting other than in the aggregate by
primary PI, it is done manually after consulting with the co-PIs on each
proposal or an award on which reporting is an issue.  Then, we footnote
whatever report contains this information so that readers understand that,
for example, we received only one award for $200K from the Air Force rather
than 4 awards for $50K.  It is a band aid solution that takes a lot of time,
but it's the only one that seems to work at this point.

I faced the same problem a few years ago. Faculty were complaining that
my annual report only listed the primary PI, not the co-PIs or other
collaborators.  So I added a column in the ACCESS database I use to
collect proposal and grants data and changed the format of the annual
report to show all who are involved in generating the proposal.  (Check
it out at

click on Appendix D.)  Those complaints disappeared.

But I'm expecting a new one anyday.  I haven't figured out a way to
include those proposals in the summaries in this report and others, so
that even though collaborators appear in the list of proposals submitted
the dept and college totals only aggregate by primary PI.  If anyone
knows a fix for that, please share it.
