Re: maintenance/service contracts for equipment Joyce Davies 06 Aug 2004 07:56 EST

Hi,
I have another question to put before the group for which I need advice.

We have had requests from the faculty to reduce our budget requirements
for proposals being submitted to agencies like the NIH that are modular
or just in time or whatever. They don't require much information on the
front end related to the budget but we still require the faculty to
prepare budgets so that we know they've thought about their needs and
have accounted for sufficient funding for personnel, etc. We also need
to know equipment or subcontract needs in order to calculate the
indirect costs. Then we just need a ballpark figure to cover other
expenses such as supplies, travel, duplicating, phone, maintanence, etc.
They feel this is too much work and say that no other schools require
this at the front end, only after it is funded.

My question to all of you... is this true? Do you have a more
streamlined method of proposal budget prep that requires less work for
both the PI and our office? My concern is that if we don't require them
to think about it at the front end, they won't request the right amount
of funding and then it's too late to say to the agency, we need more.

Thanks for you help and I look forward to hearing from anyone willing to
help me.

Joyce
