USC has in the past had separate files in the sponsored program and the
contract/grant accounting offices--the official audit file was
maintained at the CGA office.  We are conducting an "extended" pilot
program to scan and store all award files electronically so the file is
available to all who have a need for access and not lost on someone's
desk.  This will be an integral part of our transition to electronic
research administration, along with electronic routing/approval of
proposals and human subject protocols.  While the document
scanning/storage project has not been an entirely easy transition with
software shortcomings and resistance-to-change offering challenges, we
are moving close to full implementation in the Fall to complete our
transition to "paperless" electronic research administration..

Cornell currently stores proposal and award files in individual grant

contract staff offices.  As part of possible move to new space we are
considering going to a centralized (high density, mechanical) storage
system for awards and/or proposals.  We would like to poll other
offices to
ask;

 1) Do you keep your files in a single central location or
distributed
to personal offices?
 2) What do you consider the pros and cons to your file storage
setup?
