At the University of Oregon:
1. Cost share commitments are loaded at the proposal stage (by the
departments) into a data base at the time they request a proposal number
(see http://orsa.uoregon.edu/web/proposals/proposals.html ).
2. If the application is funded, a review of the award document is done to
determine if any adjustment is necessary in the cost share data.
3. Our quarterly activity report production process (produced on a grant by
grant basis) automatically accesses the cost share obligation file for each
grant and prints the detailed obligations (names of individuals, travel
costs etc.) as the last page of the grants activity report.
4. As personnel appointments are made with cost share commitments or non
personnel costs are paid through the financial system they may be coded as
cost share and will appear on the next quarterly report in a column listed
as documented cost share. As cost share is reported the last column on the
cost share page entitled "Remaining Obligation" is reduced.
5. Third party contributions are entered into the system based on forms
submitted by the third parties and also appear as documented cost share.

Hi everyone, I know when this requirement hit the scene there was large
discussions concerning the implementation of these new rules but I have not
be able to find it in the list's archive. This year my college was lucky
enough to be selected in the sample for the university's audit. Our method
of tracking costshare is a bit cumbersome, and I was wondering if anyone
would be willing to explain how their university accounts/tracks costshare.
