Assistant Contract and Grant Analyst
Position No. 01-07-003
Salary Range: $2,483 - $3,479 per month
Essential Functions:
Provide administrative support to the assistant Director (AD), and several
Contract and Grant (C & G) analysts in the Office of Sponsored Projects
Administration (SPA). Assist in drafting contracts, subcontracts and other
agreements. Review and revise budgets and create a variety of reports
using MS Excel and Access. Review proposal and award documents for
completeness; contact departmental personnel and Principal Investigators
(PIs) to request additional information and/or changes; take primary
responsibility for reviewing routine grant proposals; organize and maintain
complex project files; maintain proposal and award data in Access, IBM
mainframe and other databases; download electronic award documents from
sponsors; prepare notices of award and other contract and grant related
correspondence and communications; and close out completed award and
subcontract files. Create templates using MS word and Excel for various
office documents for use by SPA staff, and contract and grant documents for
use by campus staff and researchers. Assist in drafting policies and
procedures and training materials.
Minimum Requirements:
Bachelor of Arts (BA) or Bachelor of Science (BS) degree or an equivalent
combination of education and experience. Demonstrated experience and
expertise in working with computer software such as Eudora email, MS Word,
FoxPro (database), MS Access and Excel. Strong quantitative and
qualitative analytical skills. Excellent verbal and written communication
skills. Demonstrated ability to organize work and establish priorities for
handling assignments with very short deadlines; complete work in a timely
manner; and work simultaneously on multiple assignments. Ability to
develop and maintain word processing templates in MS Word for routine
correspondence and contracts; develop and use Excel spreadsheets and
templates for proposal and award budgets; and develop reports from
mainframe, Access and other databases. Hired applicant must pass a
background check through the U.S. Department of Justice.
Preferred Qualifications:
Experience in an academic setting, working with faculty, staff and
extramural sponsors, preferably in a UC environment. Knowledge of UC
policies and procedures relating to extramural contracts and grants, and
submission procedures for electronic research administration, especially
for the National Science Foundation and other organizations.
