FW: [RESADM-L] average workload for contract and grant administra tors Atella,Mary 01 Jun 2001 11:58 EST
I've had a few responses to my inquiry (thanks!) plus requests for clarifications. I will plan to post whatever feedback I get to this list, hopefully next week. Clarification: At CSU we have 8 "contract and grant" administrators (4 seniors, and 4 assistants) who are responsible for reviewing and signing off on all proposals submitted (pre-award function) as well as negotiating awards and then administering the active projects through closeout (post-award function.) We have 2 "proposal processing specialists" who assist the c&g administrators with proposal preparation by checking guidelines, preparing reps & certs, doing cover letters, and preparing the proposal for copying and sending. We also have a separate accounting staff of 6 people who handle all of the invoicing and financial reporting. My original question was: how many active projects do your research administrators handle as an average workload? I added the piece about also handling pre and post award because I wanted to be able to compare apples to apples. If your administrators aren't also handling a proposal load, I'd expect they could administer more active projects. In addition, I'm attaching at the bottom an email I received about SRA's Benchmarking Survey that will probably be a good source to get data like I've requested. I plan to pursue this further and thought others on the listserv might be interested as well. Thanks again for your input! We are currently collecting data covering activities in FY 2000. Over 60 institutions reported data for FY98. Over 80 institutions have registered to provide data for this round. The survey contains standard definitions for pre and post award activity, proposal, award, etc. The survey is web based. There is no charge for participation in the survey and the standard "report card" on 16 sponsored programs staffing and activity measures as compared to the nationwide sample. I have attached a copy of the FY 2000 survey questions. If you are interested in participating let me know and we can register Colorado State. The 2000 data collection ends June 30, but we can extend the deadline if that would help. There are also summary reports based on the FY 98 data available on the SRA web site. I hope this helps, and that you will consider participating in the current data collection. let me know if you have any questions and I can send additional information.
