We also use ecrt; it’s a Huron Consulting Group effort certification software system. Technically it operates as a payroll validation method. Here’s how it works:

 

1.       Payroll data feeds directly into ECRT, generating effort statements by project.

2.       These statements are then reviewed after-the-fact as a secondary validation by the PI.

3.       If any inaccuracies are identified in the effort reflected, a payroll correction (cost transfer) is required.

4.       After the correction is processed, the updated payroll data automatically updates in ECRT, allowing the effort statement to be accurately certified.

Institution: University of Texas Health San Antonio.  We use a site called “ECRT” (E-cert), but it seems like its an internal site/internal software, so I am not sure that it is an outside software (it could be and just be customized for our institutions).

 

Here is what it says before it gets to the log-in page:

 

Welcome to ECRT

Welcome to the effort certification and reporting system for The University of Texas Health Science Center at San Antonio, ECRT (Effort Certification and Reporting Technology). The web-based ECRT system serves as the system to facilitate the university's effort reporting and certification process.

This system is designed to help comply with institutional, UT System and federal policies that govern certification of an individual's total effort including sponsored and non-sponsored activities.

With ECRT, faculty self-certify their own effort. In addition, faculty must also certify all Support Staff that were funded from a sponsored project for which they are the principal investigator. The Certification process takes place twice each fiscal year and covers the performance periods of September-February and March-August.

I have heard that there are some universities that track/monitor effort on sponsored projects separate from salary reporting.  I have been asked to provide a few examples of universities that do so.  If you work for a university that tracks effort and salary separately, could you let me know your institution?  Bonus points if you can give some insight into the process when the two don’t match.
