Lisa,

I don't have a sample policy to share but, as someone who has been an external grant writer and someone who has hired external grant writers, I find it shocking (although I probably shouldn't) that a grant writer would engage in a project without a written contract.  That contract can/should address the issues that you mention.  Also, the American Grant Writers' Association has professional standards and a code of ethics (http://www.agwa.us/ethics) that they should be following.  Some of this language could also be put into the contract.  For us, all contracts must go through legal review before being signed.  Most faculty here know to do that.  Sorry, I have no great solutions for getting faculty to let us know things early enough!  Best of luck!

Looking forward,
Dorothy

For clarification, some of the issues that we have been having include:

PIs not letting us know they are working with a grantwriter until the last minute—when we ask where the materials are…

Grant writers not following standard university procedures: for example, sending us the grant materials early

Grant writers thinking that they “own” the documents and treating them as proprietary

Grant writers creating their own login for foundations, etc,. and attempting to submit

And, generally being a pain in the rear end and refusing to cooperate with preaward staff (the “Lone Ranger” type…you know, going ROGUE and not listening to pre award advice on submission materials)

Has anyone else had these issues with external grant writers?  If so, how have you dealt with these issues?
For us, this is a fairly new issue, as more of our PIs are using grant writers to obtain funding.   I am wondering if this is a new issue for others as well.

Subject: [RESADM-L] Looking for policies on using external grant writers at institutions

Good afternoon,

Does anyone’s institution have a policy concerning the use of external grant writers?  This policy would be probably directed to PIs and/or departments concerning the acknowledgment of institutional policy.

Thank you in advance.  We have a few issues to address with grant writers, but I figured if someone has something already written down we could use that as a starting point.
