An update I was holding back on until we had more information.

 

For the past several months we have been more frustrated by the company which hosts RESADM-L for reasons I won’t go into here, but include the inability to have emails properly handled.  While we run RESADM-L as a free service for the community, HRI has several internal lists we use to communicate with our own PIs and our own contractors (among other lists).  The fact that we can’t email our PIs without having those emails go to their SPAM folders has become unacceptable.

 

As a result, we recently contracted with a new vendor to handle HRI’s mailing lists, who are a little better in tune with the DMARC configurations and other industry standards.  Our internal tests have all passed with flying colors.

 

HRI is migrating it’s internal lists over to the new system between today and tomorrow; RESADM-L is scheduled to be moved over in about 2 weeks.

 

I’ll provide more information as it becomes available; however one side effect that will be immediately noticeable will be the return of the RESADM-L list to our historical “lists.healthresearch.org” domain name.

Is anyone else running into the issue with RESADM-L emails getting quarantined?  I contacted my IT department and they provided the feedback below.  Does anyone know how to get this info to the listserv owner to see if DMARC options can be updated?

 

Listservs by nature spoof/fake the sender's email address, which can cause the message to be identified as spam or phishing. The message is not being sent from the list's address (xxxxxx@lists.hrinet.org); it is being sent using the address of the person that posted the message to the listserv. In this case, it was [redacted].

Allowing or whitelisting the listserv address does no good since that is not the email address being used to send the email. You would have to add the actual poster's email address to your Safe Senders list, which could be a different person each time and you would not know who that would be.

To add to the complexity, a sender's/poster's domain can enact email security policies such as DMARC that will be violated when using a listserv because of the listserv's nature of spoofing addresses. In this case, lists.hrinet.org does use email security policies, which is why the message was quarantined. UTK uses these email security policies, too. Messages that you post to this list could be marked as spam.

There are things that the listserv administrators can do to make the list compliant with DMARC policies. There are features/options that can be configured within the listserv to make it compliant with DMARC. Sometimes the listserv needs to be upgraded to see these additional features/options. The administrators of the lists.hrinet.org listserv need to make this change. We cannot do it for them.”
