Position Overview

The Program Coordinator performs a wide variety of duties to support the mission of the Idaho Cooperative Fish & Wildlife Research Unit. Responsibilities include assisting with the development and submission of grant proposals and providing administrative, financial and program support for awarded projects.

Position Responsibilities

Key Accountability

Support unit grant development and proposal submission activities by:

Job Duties

• Coordinating grant development efforts, providing unit-level review, providing feedback to authors regarding compliance with proposal guidelines and university policies and procedures. This includes tracking the completion of all required documents.
• Developing and/or analyzing proposal budgets and other components of proposals as assigned, including estimating costs based on institution standards and proposal and/or agency guidelines.
• Entering and processing proposals through university proposal approval and submission system(s) and serving as liaison to the College of Natural Resources administrative office, the Office of Sponsored programs and other university offices involved in the review, approval and submission process.
• Coordinating completion of modifications needed to proposals and/or awarded sponsored projects.
• Maintaining up-to-date biographical sketches for the director and other key personnel.
• Serving as unit resource for complying with institution, state, federal and applicable agency guidelines related to sponsored programs.

 

Key Accountability

Provide stewardship of unit finances by:

Job Duties

• Assisting with unit purchasing
• Processing expenditures
• Reconciling accounts
• Processing electronic personnel actions (EPAFs)
• Monitoring expenditures, compiling and distributing reports to track progress and adherence to budget plans, alerting the Director of any potential overages or unused funds
• Managing unit vehicle and equipment service centers; tracking usage and billing for services provided
• Maintaining inventory records

 

Key Accountability

Provide administrative and program support to the unit by:

Job Duties

• Providing broad administrative support to the Director and other participating personnel.
• Participating in, and supporting student recruitment efforts.
• Assisting with onboarding graduate students and temporary employees.
• Making travel arrangements for unit employees and students.
• Supervising work study students; overseeing their work and progress on various fish and wildlife research projects.
• Working closely with the Director to create an annual report and other recurring and ad hoc documents and reports.
• Participating in the planning of meetings, providing logistics support.
• Submitting recurring reports to the USGS on behalf of the Director.

Support efficiency within the unit by:

Job Duties

• Identifying and implementing systems and procedures that improve workflow and organization.

Required Experience

• Three years of experience related to the duties of the position including:
- Working independently and as part of a team
- Collecting, compiling and organizing data into reports
- Editing and proofreading the work of others in a work environment
- Processing and reconciling expenses
- Developing and monitoring operating budgets

Required Education

Required Licensures, Certifications or other

• May occasionally require working a flexible schedule within a given week to meet unit deadlines.

Additional Preferred

• Bachelor’s degree in business, finance or related

• Experience:
- With sponsored programs administration and/or governmental accounting
- Working in a higher education, public or governmental organization
- Interpreting, applying and explaining policies and procedures / rules and regulations
- Balancing and coordinating a workload for multiple projects

• Knowledge of:
- Grant and contract administration processes and procedures
- Standard accounting principles and budgeting procedures

• Skills:
- Excellent writing and analytical skills
- Proactive, strategic and detail-oriented approaches with a strong commitment to quality, efficiency and effectiveness
