We also require our faculty to follow the internal routing process for anything that requires a detailed budget and/or the proposal requires agreeing to terms in advance. Whether that be a reduced indirect, required cost-share, or I’ve even had publication restrictions that had to be negotiated at the proposal phase.

 

Of course, there are always some that slip through the cracks.  I have personally visited department meetings to explain the proposal process.  I also explained that if they submit anything that doesn’t meet our standards and hasn’t gone through the internal process, we are not obligated to accept the award or submit a full proposal if they submitted a pre-proposal. 

 

It’s almost impossible to catch them all, but the more you can catch and review in the beginning, the easier it’ll be at award negotiation time.

It's really about creating the culture where PIs know to call - where they want to call- and find out.  We're working on it.  We're getting there ;)
