Seeking an experienced research administrator to join the Business Services unit of the School of Human Evolution and Social Change at Arizona State University (ASU).
The Research Advancement Administrator (RAA) is a proficient research administrator, able to independently provide direct support to research investigators in the area of proposal preparation and award management. This position will ensure ongoing compliance
with all applicable federal, state, sponsoring, university and ABOR standards, regulations and requirements. The RAA will also serve as the research administration liaison across campus between SHESC and other colleges, schools, departments, and research investigators,
as well as liaising for SHESC faculty in their interactions with the Office of Research and Sponsored Project Administration (ORSPA).
The RAA will regularly work with individual faculty to develop and process proposals and manage single-investigator awards. The RAA will also support proposals and awards that are high-profile, involve teams of investigators and project managers, and incorporate
multiple subcontractor institutions.
Essential Duties
·
Performing funding searches to help identify opportunities; Reviewing funding announcements and providing guidance on eligibility and sponsor requirements; Contacting
sponsors for clarification of application guidelines.
·
Acts as administrative resource to ASU research investigators, provides assistance, guidance and counsel during development, pre-submission administrative review,
management, authorization and transmittal of grant and contract proposals to federal, state, and private funding agencies to verify and ensure ongoing compliance with all applicable regulatory and financial compliance requirements
·
Develops administrative components of proposals for a wide variety of funding agencies, including federal sponsors, corporate entities, philanthropic funders, and
local governmental agencies.
·
Assists with the development of accurate project budgets and maintains reconciliation spreadsheets for unit faculty for sponsored projects purposes, as well as verifying
cost sharing by sponsor.
·
Assists ASU research investigators in preparation and routing of internal sponsored projects forms.
·
Assists with post-submission action items requested by the sponsor such as revised proposal budgets, completion of sponsor forms, etc.
·
Analyzes award documents and advises faculty and staff on award management issues, facilitating problem resolution with faculty, internal offices, sub-recipients,
and sponsors;

Assists ASU research investigators with renewals and periodic reports for grant agencies.
·
Review proposals against guidelines before sending to the Office of Research and Sponsored Project Administration; Submit applications to Office of Research and
Sponsored Project Administration for review, signature, and transmittal to sponsor.
·
Assists with all areas of award management, which will include but are not limited to: Guidance and assistance in preparing administrative post award requests including
At-Risks, Pre-Award Costs, re-budgets, No Cost Extensions, and all other Award Change Requests; Monthly account monitoring and reconciling; Expense Transfers; Effort Reporting; Resource to research investigators and departmental business staff on Sponsor policies
and regulations regarding the administration of award funds; Monitor compliance issues and assist in resolution; Account close out.

Manages awarded projects in accordance with University and sponsor regulations; prepares standard and non-standard accounting reports for the ASU research investigators;
identifies and rectifies errors and omissions to reduce opportunities for discrepancies.
·
Assists with post submission action items requested by the sponsor such as Just In Time requests, revised budgets, scope of work, additional certifications, etc.
·
Assists faculty with pre- and post-award grants and contracts processes; provides information, guidance, and interpretation of complex federal and state regulations
governing management of grants and contracts.
·
Works with departmental financial/HR staff to review appropriateness of financial and HR transactions posting to the grants.
·
Acts as administrative resource to ASU research investigators and ORSPA staff to resolve problems and correct errors in fund management to ensure timely collection
of revenue through accurate presentation of invoices.
·
Maintains all applicable project records and files.
·
Provides unit faculty with technical advice regarding sponsored projects submissions, problem solving assistance, answers to questions regarding sponsor goals, and
policy interpretation.
·
Performs other duties as assigned.
Work Schedule: This position requires an 8-5PM, Monday-Friday work schedule. Occasional overtime will be required
to meet critical deadlines.
Minimum Qualifications
Bachelor's degree in a related field. Three years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable
knowledge, skill and abilities have been achieved.
Desired Qualifications
·
Evidence of at least three (3) years of research advancement and administration experience in higher education or a fast-paced environment
·
Experience providing individualized support to faculty members
·
Demonstrated knowledge of sponsored projects principles, practices and procedures in field of program, project, or initiative expertise.
·
Demonstrated knowledge of computer systems, specifically MS Office applications and/or operations.
·
Demonstrated knowledge of grants and contracts or similarly complex documents within a university environment.
·
Experience in developing detailed and complex budgets.
·
Experience in proposal preparation and processing.
·
Evidence of ability to understand user needs, requirements, and requests;
·
Evidence of problem-solving, critical thinking and time management skills;
·
Experience in working on multiple projects while producing accurate output.
·
Experience using ASU systems such as ERA, Workday, and Analytics Reporting.
·
Experience preparing detailed financial reconciliations and expense tracking reports for sponsored grant and contract projects.
·
Evidence of effective communication (both verbal and written) and organizational skills.
·
Experience in establishing and maintaining effective working relationships.
·
Experience in working independently exercising analytical skills and decision making in an environment subject to minimal direction/supervision.
·
Experience in applying knowledge of federal and state regulations governing management of grants and contracts.
·
Experience in working effectively in an environment subject to regularly changing priorities and strict deadlines requiring regular follow through of activities
within assigned work.
Working Environment
Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting. Due to current COVID-19 pandemic,
candidates must be able to perform activities in a remote setting.
Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds. Ability to clearly communicate verbally in English to perform essential duties. Ability to work both independently or
within a complex structured team. Works from general instructions on standard job duties and specific directions/ instructions on new assignments. Exercises judgment within defined procedures & practices to determine appropriate action.
