I am a departmental grants administrator and I do assist my assigned faculty with their Bibliography in NCBI (not just linking publications to RPPRs but the whole of managing the Bibliography). It is something
that most of us departmental grants administrators offer to our faculty if they want that assistance. All five of my assigned faculty said “yes please!”
Best practice, I would be requesting their CV on a quarterly basis and doing all updating and NIHMS submissions quarterly. However, given that at my institution we are set up to do both pre- and post-award duties,
sometimes this timeframe doesn’t happen. Often due to workload I am forced to wait until it’s a really important task (e.g, one month before a given PI’s RPPR is due.)
Many of the journals submit to NIHMS automatically so it’s not terribly time-consuming. I would estimate that on average I spend 1 hour per week on this task combined for the 5 faculty. (It does take quite
a bit of time, however, to learn the policy, learn how to use NCBI, and learn how to use NIHMS.)
