This position is full-time and works approximately 40 hours per week.

This position is in the Department of Internal Medicine, Division of Medical Oncology.  The position is located at the Couch Biomedical building.  This position is for the Medical School Campus.

Essential Functions

POSITION SUMMARY:

Position performs administrative duties for department, administers fund accounting, grants and sponsored projects and coordinates administration of unit assisting Director. 

PRIMARY DUTIES AND RESPONSIBILITIES:

Essential Functions:

1.     Designs, implements and updates section policies and procedures maintaining current information and compliance with University and funding agencies policies and procedures.

2.     Collects, analyzes, and maintains data on section costs and assists RA to develop budget estimates for budget submission.

3.     Manages and monitors grant and department funds and ensures appropriate and timely expenditures and reconciliation of funds. Develops and presents monthly, quarterly, and annual financial reports to Research Administrator and Principal Investigators, makes necessary changes, and assists principal investigators with fund management.

4.     Monitor spending and invoicing of subcontracts, and report any discrepancies to the appropriate Research Administrator and Principal Investigator.

5.     Review all purchases per federal guidelines and internal policy and approve in AIS, including purchase orders, Interdepartmental Invoices (ID’s), External Invoices, Check Request, Travel Reports, etc. Supervises overall grant/account management, ensuring charges are appropriate and are following established agency/university guidelines, and monitors related financial activity.

6.     Oversees management of section facilities and assists with coordination of renovation, moves, or other construction projects. Also maintains asset inventory and space records for annual audits/updates.

7.     Maintain a list of all section accounts and provide monthly updates to section team.

8.     Provides backup support for other Financial Analysts in the Oncology Division and for the Administrative Coordinator, as needed.

9.     Manages and monitors grant and department funds and ensures appropriate and timely expenditures and reconciliation of funds, supervising preparation of reports when required, makes necessary changes and assists principal investigators with fund management.

10.   Oversees maintenance of payroll authorization records, reviews and enters sourcing changes, and processes Payroll Cost Transfers when necessary.

Other Functions:

11.   Attends meetings, education programs, workshops, and keeps abreast of current literature.

12.   Prepares special financial reports for Research Administrator.

13.   Assists Research Administrator in Section Administration.

Required Qualifications

Equivalent of Bachelor’s degree with more than 5 years of experience in management/financial experience or related field.

Preferred Qualifications

  • Experience in fund administration, FIS and COGNOS programs preferred.
  • Working knowledge of computer programs including spreadsheet applications, and interpersonal, organizational and communication skills with discretionary judgement.

Salary Range

The hiring range for this position is $50,294 - $65,374 annually.
