We would require specific sponsor approval.

The policy here is no alcohol on “grants”, but if a private foundation was willing to cover refreshments, such as alcohol at a special event, and it was under my purview as a sponsored program (as opposed to a gift, for example), I would want it in writing that they specifically allowed the alcohol to be purchased. Otherwise, it would have to be charged to a non-grant account.

Subject: [RESADM-L] Alcohol Expenditures on Non-Federal Sponsored Projects - allowable?

Dear Colleagues,

I know this is more relevant to private universities and less so to public ones, which I think would have a state rule prohibiting any institutional purchase of alcohol.

What is your institution's policy on charging a reasonable quantity of alcohol for an event that is part of a sponsored project, assuming that the event itself would have been allowable and that the sponsor does not prohibit alcohol expenditures?

Would your institution allow it?  Would you require specific sponsor approval?

Thanks for your input,

Jesse
