This is a great question. If the total award is reported in the first year, how are funds received in the succeeding years acknowledged?

Just to clarify, when I said we would report a three year award that was not obligated up front (e.g. a continuing NSF grant), we wouldn’t set it up in the grant accounting system as a three year award until  the funds had been obligated.

This is problematic for us for reporting because if we report only the first year, I have to add a new project for year two, year three, and so on. Furthermore, if someone is awarded a three or five year project and we report only the first year, that doesn’t really represent the project. A more accurate representation is the full amount with the project years included, which is what we generally do. For example, if we are awarded a continuing grant from NSF, I’ll record the full amount for all years, even though only year one has been obligated. Award reporting is about recognizing PIs and providing a reasonable recounting of award activity; it is not about providing financial data, which will absolutely be accurate to the penny by fiscal year.

thank you.  It appears that those who have responded report award amounts based on the current year's award.  If a multi year award indicates an award amount of, say, $375.000 for the first year with a total amount of $1,500,000 upon the satisfaction of progress reports, the $375,000 would be recorded this year and then  $375,000 based on the 2nd year award letter would be recorded in the next fiscal year.  If the entire award amount is indicated on the award letter for 3 years, then the total award would be reported.  yes, sponsors are not consistent with their awards notices.
