Hi Megan,

State record retention laws can trump federal requirements. Institutional policy can trump both if there's a defined documentation retention policy in place signed off by the Trustees. I ran into this issue at a PUI in a prior role. I'm not sure of the structure of Abilene, but you may want to confer with your General Counsel's Office to see if there's a institutional documentation policy in place before taking action.

Also, if a renewal, then the standard is that grant is not over and you're typically required to keep those records until no further renewals.

Hi all,

 

Question about record storage:

We have a very long running DOE grant (15-20 yrs???) that just gets renewed every 2-3yrs. Do we need to keep the records for the entire grant period from its inception? Or does each renewal get its own destruction date?

 

Do you know of any agencies that have storage requirements longer than 3 yrs?
