Occupational Summary
Responsible for the day-to-day oversight and management of assigned portfolios for the School of Medicine (SOM) pre-award and award activities by managing assigned personnel dedicated to these tasks.
Work Performed
Responsible for managing SOM application/proposal submission activity, Just-in-Time (JIT) requests and other research administrative related duties utilizing strong organizational skills to ensure communicated timeframes are met.
Direct and coordinate assigned Staff members accordingly to ensure internal and external requests are addressed, managed and/or resolved in a timely manner.
Review and maintain appropriate portfolio (i.e., SOM Depts./Institutes/Ctrs.) distribution among assigned personnel and to address and manage periodic changes in the volume of research administration related activities.
Oversight and point-of-contact for Sponsored Projects System (SPS), ensuring that system is functioning properly in conjunction with and the support of the Research Application Development (RAD) group
Participate in developing educational and training material promoting good research administration practices, professional development and expertise for Pre and/or Award management
Collaborate and communicate with ORA Assoc. Dean/Executive Director and other Assoc. Director to ensure that ORA is operating in a uniform manner with University and SOM initiatives and objectives. This includes collaborating with peers and colleagues in other
Central Administration Offices (e.g. ORS, OSP, OCRC)
Create, maintain and update standard operational procedures (SOPs) relating to the oversight and processing of sponsor supported applications/proposals and associated award activities utilizing existing resources (e.g., assigned personnel, databases, networking)
Ensure SOPs created, maintained and updated coincide with current University and SOM related policies; advise and ensure compliance with policies set forth by the University and external agencies.
Oversight of Sponsored Effort Management (SES).
Responsible for understanding and staying current with Sponsor (i.e., Federal, State, Local, Foundations) related policies and guidelines with an emphasis on the National Institutes of Health (NIH).
Responsibilities include acting on behalf of Duke University (i.e., Authorized Institutional Official)
Internally (SOM) and externally (i.e., NIH) reconcile submission and award activity
Provide ad hoc trainings in research administration to departments as requested.
Serve as liaison and point of knowledge regarding research administrative related matters involving internal and external personnel and/or entities.
Develop challenging goals/objectives for assigned personnel

Education
Work requires communications, analytical and organizational skills
generally acquired through completion of a bachelor's degree program.
Research or grants education and/or certification is preferred.
Training:
Successful completion of required department training such as GC101& 201
Introduction to Research, Financial Services Introduction to R3,
Introduction to Duke GL, Introduction to Accounting, Sponsored Research
Reporting, Research Administration at Duke (on-line), Basic Compliance
(on-line) within first six months of hire is required.
Successful completion of the Research Administration Academy (RAA),
Advanced Grants Management, and Research Administration Institute (RAI)
training is expected. Employees hired into this classification without
the expected credentials will work closely with their manager to
schedule and complete all training within a reasonable period of time
(generally 12 months). Successful completion of all expected training
will be an annual performance goal until complete.
Upon successful completion of expected training, the employee must
maintain Research Administration Academy (RAA) certification and
Advanced Grants Management (AGM) certification by completing continuing
education requirements.
Certified Research Administrator (CRA) certification is preferred.
Experience
Work generally requires five years of relevant grants and contracts
experience.
