Sponsored Programs Administrator I  

 

 

Job Function

 

Provides professional staff support in sponsored program activities to include, clinical trials contract and subcontract preparation; negotiation of clinical trial and industry funded research, contracts. Provides administrative services to project review for sponsor and university compliance.

 

Serves as a central negotiator and liaison between the University, pharmaceutical, industry and contract entities.  Assists in the formulation of processes and procedures for negotiation of contract and grant pre-awards to meet university requirements; researches appropriate federal, state, and local requirements to facilitate compliance by all parties; assists in arbitration and resolution of conflicting interests, as necessary. Coordinates receipt of awards and contract documentation; maintains proposal and funding records in database systems. Guides and facilitates faculty and staff in the development and preparation of research proposals, contracts, sub-contracts, and agreements, to include budgets, documentation, and interpretation of funding requirements.

 

Works closely with a variety of partner offices whose responsibilities intersect those of the Office of Research Administration (ORA) to resolve problems or address issues relative to subawards and other sponsored agreements.

 

Analyzes and evaluates contract and clinical trial budgets for correct indirect costs, IRB fees and applicable university fees. Analyzes and evaluates awarded proposals, contracts, and subcontracts for compliance with funding agency, federal, state, and university requirements; prepares required acceptance documentation, and obtains official university signatures,

 

Participates and/or assists in special projects, and performs associated administrative duties, as assigned; may provide functional direction to lower level administrative support on assigned work. Performs miscellaneous job-related duties as assigned.

 

Duties and Responsibilities

1.         Contract Preparation and Negotiation.  As a member of the Office of Research Administration (ORA), assists in the preparation and negotiation of research, training, and clinical trial contracts with other entities.  Also assists in the preparation and/or negotiation of subaward agreements.

 

2.         Communication/Correspondence. Responds to inquiries from Principal Investigators, assigned staff and Grants and Contracts Accounting concerning interpretation of the provisions of clinical trial contracts.  Responds to requests from awarding agencies for information related to proposals and externally funded grants and contracts.  Prepares paperwork and drafts correspondence for negotiation/acceptance of  contract terms and conditions, modifications, extensions and related administrative matters. Serves as liaison to sponsors over the life of the project.

 

3.         Information Review.  Reviews Sponsor information pertaining to federal regulations, specific agency requirements, and procedures and applies information to daily tasks.

 

4.         Staff Support.  Provides support to departmental administrators in the, preparation of subawards, and general management of clinical trial contracts.

 

5.         Other Duties.  As assigned

 

Minimum Qualifications

 

Required Skills and Proficiencies

Education:  Bachelor's degree in a related field and experience in any combination of the following areas: procurement (federal, state or industrial), proposal submissions, contract negotiations, grant and contract administration and financial administration; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

 

Experience:  24 months experience in sponsored program administration, biomedical research experience, or related experience in an academic institution for higher education

 

The position also requires the ability to multi-task, work independently, and operate in a high stress, deadline-driven environment. 

 

 

Certifications/ Licenses: 

 

Equivalent/ Substitution:  Will accept 48 months of equivalent experience in lieu of a Bachelor’s degree.

 

 

Departmental Preferences

Preferred: Demonstrated knowledge of: Microsoft Office applications (Word, Excel, Access, and/or Outlook) or comparable computer applications; Adobe Acrobat; databases; Strong communication and interpersonal skills, along with a highly developed work ethic.  Experience communicating with multiple levels of personnel. Experience working in a team environment.  Strong customer service skills and demonstrated ability to interact effectively with scientific, management, technical and other staff from R&D, academic, public and private sector environments.  Ability to work independently and as a team member in a complex, multi-deadline work environment.
