Assistant Director, Contracts and Grants
Job Description
Reporting to the Director of Contracts and Grants, the Assistant Director will assist USF faculty in identifying funding opportunities for faculty, interpreting proposal guidelines, preparing and uploading proposals, and developing budgets. The Assistant Director reports to the Director and works collaboratively with all staff to deliver expeditious, friendly and supportive service to faculty and staff.
The Assistant Director will be familiar with the Mission of the University and its policies. S/he will have a thorough knowledge of US government regulations pertaining to grants. S/he will have worked as a grants administrator and/or pre-award officer for at least 2 years and have a complete understanding of how to work effectively in an academic environment.
Essential Job Responsibilities
The successful candidate will:
- Understand and implement USF’s pre award procedures for the development of competitive proposals and grants management.

Be able to work effectively with faculty using excellent organizational and communication skills.

Assist faculty in all aspects of proposal development: preparing budgets, completing standard forms and certifications, reviewing proposals for compliance, uploading proposal documents to online portals. Familiarity with NSF, NIH and US Dept of Education grants portals required.

Develop and update sample templates, budgets and forms for faculty to help in proposal submission.

Assist Director with submission of continuation proposals, issuance of subawards, reporting, monitoring and compliance.

Maintain current information in database and issue reports as necessary. Prepare proposal review forms to circulate for signatures before proposals are submitted.

Maintain OCG’s website and identify new materials to aid faculty in proposal preparation.

Maintain and update OCG’s agency manuals; review and implement new agency policies and procedures.

Learn faculty research interests and initiate meetings to propose new funding opportunities. Participate in appropriate campus activities to promote research activities.

Cultivate professional relationships with other collaborator institutions and ensure that subrecipient documents are received and processed.

Communicate with faculty and administrators effectively, tactfully and frequently to address issues that arise in proposal development. Solve problems on a timely basis.

Requirements

Excellent time management and organizational skills.
-
Ability to read, interpret and analyze proposal guidelines and to explain requirements effectively to faculty. Skills in developing templates, directions and checklists for faculty use.

Knowledge of state and federal laws and regulations as they pertain to proposal development and grants administration.

Outstanding communication skills, both oral and written. Be able to prepare and edit documents quickly and accurately; be able to review proposals for accuracy and compliance with guidelines.

Demonstrated ability to build strong relationships within an institution, and effective partnerships with collaborator institutions.

Understanding of budget development and thorough knowledge of Excel.

Knowledge of cost principles and their application to federal grant budgets.

Familiarity with online systems for uploading proposals, including NSF FastLane, grants.gov and eGrants. Knowledge of HRSA and electronic handbook preferred.

Ability to prepare reports that are useful for administration; responsible for preparing annual report for OCG.

Ability to work independently and as an effective team member.

Ability to identify resources, solve problems and take initiative in all aspects o pre-award administration.
Qualifications & Requirements:
Bachelor’s degree required, a Master’s degree is preferred.
Minimum of two years experience in a sponsored program setting; supervisory experience required.
Strong computer skills, including knowledge of Microsoft Office
Experience in developing materials, presenting workshops and communicating effectively with faculty, government agencies and colleagues
Established record of successful proposal development.
