At Barry, we “require” (which means strongly request because we don’t say “no”) that a full package be submitted to the Pre-Award Office 10 days in advance of the due date.  The 3-page cover sheet to the package includes the signatures of the PI and his/her Dean.  The full package includes the FINAL budget and a working draft of the narrative (PIs are allowed to make narrative changes/additions right up until before we submit the grant).  The Pre-Award Office reviews and approves and then provides to the Post-Award Office which reviews and approves the budget.  During this time, the Pre-Award Office also gets approval from the Provost via a brief summary.  Any budgetary adjustments are made during this 10-day window of time.

 

I hope this is helpful.  I would be interested in hearing about the feedback you receive.  Some might say our 10-day lead time is too much, but almost everyone ignores it anyway so it doesn’t make sense to reduce it!

Subject: [RESADM-L] Grant Lead Times

 

I'm conducting an informal survey to try to modify our own policy regarding lead time for grant submissions. This question would apply to those with centralized research administration.

 

How many days before the deadline do you require receipt of the grant to your office?  Does it go through an approval process before this point? If yes does that have the same lead time requirement? Do you allow non-budgetary changes to be made after the required deadline, or is it considered "final" unless errors are kicked back?

 

I remember this question being asked before, but that was back when the transition was occurring to completely online submissions. Now that it has been several years I'm not sure if anyone has modified or learned from their experiences.
