I concur. As the institution is responsible for making sure the research is compliant with the rules and regulations, it is perfectly acceptable to collect more information than was  required in the original a grant proposal or a contract if that is what you need to perform your job properly.  Just try to keep the information requests balanced so that you can get the information you need to do your job, without requiring unnecessary paperwork from the investigators.

Regardless of the sponsor requirement, internally we ask for budgets in a consistent format to ensure adequate and reasonable pricing.  If the sponsor does not require such detail then the budget will be used for internal purposes.   A detailed budget is necessary in order to setup the accounts correctly in Banner and more importantly for post award compliance.

It seems reasonable that the institution will require a little more detail in a budget than may be required by a sponsor who only wants to see the bottom line number.  The institution would want to check that their negotiated benefits rate, and F&A rates, etc. are being used to arrive at the bottom line number provided to a sponsor.

Good morning,

 

I am writing to see if your institutions sometimes require additional information from a PI that is not required by a sponsor. And, if you do sometimes require additional documentation, what is your process for justifying that to the PI?

 

For instance, a sponsor may only want a budget total, or a very basic budget, and you would like a more detailed, line item budget for internal purposes. Or, as another example, possibly you are working on negotiations with a private entity on a contract and so there is no proposal associated with the contract, but you may want to have some typical “proposal” documentation on file.
