Stevens Institute of Technology is located in Hoboken, New Jersey directly across the Hudson River from Manhattan, New York.   Stevens is a small, private university with a research portfolio of about $30M that has committed to an aggressive plan of expanding its sponsored research.

Position: Grants & Contracts Specialist

Department:Office of Sponsored Research

Description: The Grants & Contracts Specialist is a member of the Sponsored Research Administration unit of the Office of Sponsored Research (OSR). Under the supervision of the Executive Director, the Grants & Contracts Specialist assists with processing proposals, setting up awards and award modifications, entering proposal and award information in a database, interpreting sponsor guidelines and other regulations, and ensuring award reporting and close-outs are completed. Additionally, the Grants & Contracts Specialist responds to inquiries from investigators, sponsors, and Institute administrators about sponsored project proposals and awards in a customer service oriented and deadline driven environment.

AREAS OF RESPONSIBILITY
• Assists in proposal processing and submission to a broad variety of sponsors.
• Coordinates receipt and processing of award documentation.
• Maintains proposal and funding records in database system; prepares reports and analyses of proposals and awards derived from the database.
• Works with Sponsored Research Assistant to set up proposal and award files.
• Assists senior Sponsored Research Administration staff with distribution of information to Principal Investigators and Institute administrators, including advice on routine proposal and award matters.
• Assists senior Sponsored Research Administration staff in responding to inquiries from sponsors
• Ensures Principal Investigators submit progress/final reports to funding agencies; prepares monthly calendar of reports due and tracks submission.
• Assists with other aspects of award close-outs.
• Additional related duties are assigned and performed as required.

EDUCATION B.A. / B.S. is required.

EXPERIENCE
Four or five years experience in grant and contract administration or related field is required.

KNOWLEDGE AND SKILLS
• Knowledge of electronic research administration
• Excellent written and verbal communication skills
• Knowledge of Excel and Word, and Access or similar database programs.

Preferred:
• Knowledge of sponsored research pre and non-financial post-award administrative functions and familiarity with federal, state, and other sponsor circulars/regulations/policies for educational institutions.
• Knowledge of a proposal and award database system.
• Demonstrated interpersonal skills in a customer service oriented setting.
• Demonstrated ability to prioritize and meet deadlines.
