We keep the unfunded file for 12 months from date of submission.  If there is no action, or effort to consider resubmitting, we take the in-house sign-off sheets, file these in one large folder and keep for 24 m onths, and return the proposal to the PI.

We keep all unfunded proposals for 12 months in the event we need to access them later.  After that, we shred them.

Of course 99.9% of our proposals are funded, but we do have a few that get turned down. I am interested in finding out how others in pre-award offices handle declined proposals.  Do you keep them in your files for a certain period of time—if so how long? Do you return them to the PI, or just shred them?
