SPECIAL NOTE

There is currently one full-time scheduled work period position in the Academic Grants Office. The eligible list established from this announcement will be used to fill permanent, full-time, part-time and temporary vacancies for the next six months to one year.

COMPENSATION

  • Experience and training will be considered in salary placement.
  • Salary range is $2,413 to $3,059 per month.
  • A full state benefits package which includes: paid sick and vacation leave; 11 paid holidays; a generous medical, dental, life and disability insurance package for employees and dependents; retirement; deferred compensation and optional supplemental retirement accounts.
  • After completion of the probationary period, employees are eligible for the statewide tuition waiver program.

    MINIMUM QUALIFICATIONS
    High school graduation or GED certificate and five years of experience in office, secretarial, bookkeeping, accounting or general administrative work with one of the five years working in grants and contracts. College education in an applicable field may be substituted, year-for-year, for up to three years of office, secretarial, bookkeeping or accounting experience, one of which must be working in grants and contracts. Equivalent education/experience will substitute for all minimum qualifications.

    DESIRED QUALIFICATIONS
    A bachelors degree and two years of experience in office, secretarial, bookkeeping, accounting or general administrative work with one of the two years working in grants and/or contracts.

    DESCRIPTION
    This position reports to the Academic Grants Manager and provides assistance with the preparation and submission of institutional grant and contract applications from the faculty and staff, performs pre- and post-award grant-related record keeping and logistical support, and may provide administrative and fiscal support to the Academic Budget Office staff as needed. The primary focus of this position is academic grants and contracts support and therefore, works closely with the faculty and academic staff for grant and contract planning, writing, budget preparation and accounting. This position also provides grant submission support to other College divisions. A substantial number of current grant submissions are science-related.

    ESSENTIAL FUNCTIONS

  • Assist faculty members and administrators in the preparation of grant proposals and contracts; interpret appropriate proposal format; research budget data.
  • Coordinate internal grants and contracts approval process.
  • Establish and maintain files (hardcopy) and electronic database of proposed/awarded grants and contracts; provide progress/year-end reports to the academic administration; monitor and submit grant Time/Effort Reports to the Business Office; notify all concerned of application deadlines and ending dates; monitor and notify grantees of reporting requirements and deadlines.
  • Assist in interpreting administrative regulations and policies for faculty and staff members within the Academic Division;
  • Provide complex and technical/clerical support services, including initiating and composing correspondence, typing grant and contract proposals using appropriate format;
  • Assist grantees as needed with grant-funded travel, payroll, petty cash and other expenditures and logistics. Ensure compliance with state and institution regulations and procedures.
  • Initiate grant and contract-related personnel and payroll action documents.

    KNOWLEDGE, SKILLS AND ABILITIES

  • Very strong proficiency in computer word processing, spreadsheet and elementary database skills.
  • Ability to successfully and routinely perform complex grant and contract support work under deadline.
  • Strong organizational and prioritization skills.
  • Strong collaborative and interpersonal communications skills; very strong customer service skills.
  • Skills in record keeping, file and simple database management.
  • Strong written communications skills.
  • Ability to interpret, explain and apply complex regulations, policies and procedures.
  • Ability to work independently with minimal direction.

    CONDITIONS OF EMPLOYMENT

  • Ability to work occasional weekends and evenings when required to meet grant submission deadlines.
  • As a condition of employment, persons hired must provide proof of identity and employment eligibility within three (3) days of beginning work, and persons may be required to submit to a background check.
  • This position is assigned to part of the institution that is covered by a union shop provision of the Department of Personnel/Higher Education Division. Therefore, new employees are required to pay dues to the Federation of State Employees within thirty (30) days of their hiring date.
