At ASU we use the Task function in Outlook to track our pre-award work and create an archive. If you are interested, let me know and we can set up a time to discuss the possibilities in your own organization. If you are using Outlook, you won't need to purchase any software.

I would like feedback on tracking and/or tickler systems that are useful
in the pre-award process.  We are looking at a system that could be used
for tasks such as sending follow-ups to faculty members after
discussions of potential sponsors, prompts to request new RFPs and
reminders of upcoming deadlines, etc.

Since we are a small institution with faculty who typically have heavy
teaching loads, our Office of Sponsored Programs and Grants Management
provides substantial pre-award assistance. Our current award volume is
approximately $6 million.  We are fortunate to be growing rapidly with
more staff, increased proposal submission and greater faculty interest
in external funding.

We are looking at using MS Access, but would like to explore other
possibilities.  Has anyone found other tickler/ tracking systems that
are efficient?
