My office creates the grant budgets and has access to salaries as needed. When there are several faculty involved., it is tricky. We let the faculty involved know that we need to use the base salary. We do hide the calculations and on the grants.gov workspace you can hide the budget. However obviously the PI needs to see the figures to develop and manage the budget. Usually faculty have no problems with sharing. We have had a situation where the dean wanted to contribute time and I don’t think he knew that the PI would see his salary. We worked it out by informing him in advance and informing him that he didn’t have to be listed in the budget.

Related question to this:

Who has access to salaries for putting together the grant budget to begin with?

A: Central office
B: Department/Lab admins
C: Combination of above

How do you handle things when people from different departments/labs are collaborating on the same proposal?

Thank you,
Collette

We are also private with confidential salaries. We have a similar approach to Kathy's below where we keep two copies of the proposal on file: one with salary detail and another with details redacted to be used for distribution. PI permission is sought out prior to distributing to anyone beyond those who have access to our files.

Hi Donna,

We are also a private institution with confidential salaries.

We would share with the following conditions: 1) permission from the PI to share the grant; 2) any confidential budget information would be redacted.

It sounds like you have a good relationship with your advancement office--not always the case in institutions like ours!

Good luck!

Hi Everyone,

Our Advancement Office has a new grants person and she has requested that we send her a recently submitted NEH application for her confidential files. Its status is pending. My office submits and keeps records of all grant proposals submitted, pending and funded and has only shared files outside of our office with the PIs permission. We are a private institution and salaries are not public, so we try to keep budgets as confidential as possible. Besides the duplication of files, does anyone see other reasons that the files should or should not be shared between offices when working collaboratively? This individual did help the PI with proposal development. Any thoughts are welcome. Thank you.
