The Veterans Medical Research Foundation (VMRF) is a private not-for-profit medical ‎research corporation, providing support for biomedical and health services research. VMRF, a 501(c)(3) organization, works closely with the VA San Diego Healthcare System (VASDHS), and is one of the largest active VA Foundations.

RESEARCH COMPLIANCE AND CONTRACTS COORDINATOR

Qualifications Summary:
Bachelor’s degree (BA/BS) from a four-year accredited college or university in a related field and at least 3 years of related experience. Must have intermediate to advanced knowledge of Microsoft Excel and Word software. Must be familiar with and able to work with other Microsoft Office software products such as Outlook and Access. The qualified candidate will have exceptional organizational skills, attention to detail, a strong work ethic, and experience administratively managing clinical trial contracts. This individual must be a self-starter and comfortable working in a fast-paced environment with high volume production requirements and meeting frequent deadlines under minimal supervision. Ability to express thoughts in a clear, concise, and professional manner both verbally and in writing.

Job Description Summary:
Coordination and oversight of project compliance – Work with VA Research Service staff to monitor ongoing projects and ensure that annual compliance reviews are obtained in a timely manner. Coordinate with VMRF C&G staff to obtain checklist and conflict of interest paperwork necessary for submitting projects to the various compliance committees for continuing (annual) review.
Conflict of Interest (COI) compliance and oversight – Ensure that the appropriate COI forms have been submitted and reviewed by VA IRC and that determination letters have been received. Coordinate with C&G Director for the reporting of said COI where required by sponsor policies and guidelines.
Invention reporting – Identify and record invention reporting requirements for all projects. Coordinate with C&G Staff, Principal Investigators, UCSD, and/or VA to ensure that invention reporting responsibilities have been met. Coordinate with C&G Director for reporting required through iEdison for federally sponsored projects.
Coordination of CRADAs and non-NIH grant billing – Prepare supporting documentation and initiate invoices for all appropriate costs associated with each sponsored project; coordinate with sponsors and Principal Investigators to obtain appropriate documentation for checks received that are not tied to VMRF invoices so that they may be correctly entered into the VMRF Financial Edge (FE) software system; create and maintain clinical project quotes in the FE system so that clinical project revenue can be adequately monitored and recognized.
Clinical trials reporting – Ensure that all necessary reporting regarding percentage of completion and other factors are completed in a timely manner.
Coordination of pre-award compliance – Serve as primary point of contact for compliance/approval tracking for VMRF projects reviewed by the Institutional Review Board (IRB), Research & Development Committee (R&D), and the Independent Review Committee (IRC). Also ensure that all checklists and IRC documentation is complete and all appropriate signatures are received.
Communication – Investigate and keep up-to-date on research compliance laws, policies, and guidelines across institutional lines and sponsoring agencies. Responsible for coordinating the communication of these with C&G Director and staff.
Auditing and Monitoring – Work with C&G Director, lead internal monitoring and auditing related to research compliance matters.
Drafting and Maintenance of Process Descriptions – Write and/or update process descriptions regarding the various compliance requirements and committee preparation procedures; invoice and bill in the FE system; track clinical project revenue in the FE system; and prepare the annual clinical project completion report as well as the VA RDIS report. May draft and prepare VMRF Board Approved policies in collaboration with the Contract & Grants Director and CEO.
May perform additional duties as required.
