We retain the files for unfunded proposals one year from the date of sponsor/PI notification that the proposal will not be funded.  The documents are then destroyed.

Good Afternoon to All!

We are in the process of updating our record retention policy for
unfunded proposals. I wanted to determine how long other schools retain
unfunded proposals?

In this process do you use the submission date as the start of the
holding period or some other criteria to start the clock?

Would also like to know if most schools destroy the documents after this
period has concluded, or perhaps return them back to the PI/Dept with an
internal note of some sort explaining the return or next action required?
