I'm part of a longitudinal national study on sisters of women who had breast cancer.  The study sent out Thanksgiving cards, and I received mine yesterday.   I thought it was a nice, non-denominational way of staying in touch with us participants, especially considering the age range that we likely represent.  But, I also believe that this study was extremely well planned and thought out, and every contingency considered.  I'm sure that this was planned for in their budget.

Html and email is all find and dandy unless your participants are up there in years.  NCI thought our idea of the holiday (non denominational) and the birthday cards were an excellent idea.  The first year we sent the holiday cards it was not in the budget.  We then requested a rebudget and the actually gave us MORE money for both sets of cards and POSTAGE and we also added a gas card for the participants for their travel expense and end of study gifts.  Our retention rate was nearly 85% which is unheard of.  We had some participants write to NCI stating what a nice touch the cards and gift were.

Dan -

Communication to energize participant retention is a real challenge, but frankly holiday greeting cards are a waste of taxpayers' funds.  A much more effective means of outreach to participants is HTML emails and online information newsletters. The cost for production is nonexistent  (an hour to design/upload) and more relevant and expedient.

Depending on the type of research, the HTML newsletter can be a means to promote further participant interest in their specific network of research subjects. It doesn't have to be for the end of the year - it can be a means to develop outreach yearround by a quick listserv pool of participants.     More importantly it doesn't cost the grant, but can help educate our participants to learn from online resources and a quick means to "answer back" to the investigator.

Go green and drop the old paper cards.

Also, how would you justify this as being relevant and necessary for the conduct of the project.  Seems a bit far-fetched to me.  As a taxpayer funding this research, I think I would object.

Silly questions - One of our research teams is going to be sending a holiday card to all participants of a study.  They want to charge the cost of printing these cards to the Federal award.  It is not a line item on the budget.  Is this allowable?
