Re: Grants.gov Application Filing Name Robert Beattie 28 Nov 2005 12:22 EST

We put our own ID number in Section 2 of the SF424 form. However,
this datum does not end up on any messages that come back from
Grants.gov, or the Sponsor, as far as I can tell. Thus using the
block on the front page "Applicant Filing Name" is necessary for
identification. There are 5 Grants.gov messages and it comes on
some of them.

You get the original confirmation note upon submission. This gives
the Grants.gov tracking number and program information and "Applicant
Name of this Submission." The last item is the entry in the field
"Application Filing Name" on the front page of the PureEdge form.
Anyone know why this does not have the same title on both places?
You cannot put much of a name there as it is only 33 characters.
Sometimes the sponsor specifies what it wants in that field and then
it is very difficult to tell the submissions apart.

This confirmation note says ""...Grants.gov will send email messages
to advise you of the progress of your application through the
system." We did not get any emails for a recent submission and my
help desk contact, Randy, said the messages were only "a courtesy"
and not required. Note that the help desk is now peopled by a
contract company based in Kentucky. We never did get messages for
that submission, but the sponsor wrote that it was received. We have
gotten messages for most submissions.

In addition to the submission confirmation note, you should get 4
email messages; from "xxxxxx@grants.gov." In the first, the subject
line contains the tracking number from the confirmation message. On
the confirmation message this is called Grants.gov Tracking Number,
in the first email it is called "Grants.gov Submission Receipt
GRANTXXXXXXXXX" in the subject line, but as "Grants.gov Tracking
Number" in the body of the message. This message also has program
information and the "Application Name." This is the same item that
was previously known as "Application Filing Name" and "Applicant Name
of this Submission." So we now have a third name for this important
piece of information. The first email message begins, "Your
application has been received by Grants.gov and is currently being
validated."

The second message subject is, "Grants.gov Submission Validation
Receipt for Application GrantXXXXXXXXX." The first line of text is
"Your application has been received and validated by Grants.gov and
is being prepared for Gantor Agency retrieval and review." They now
think you have memorized the number variously known as "Grants.gov
Tracking Number" and "Submission Receipt" and "Application" because
the second message does not have that useful "Application Name" (or
Applicant Name for This Submission or Applicant Filing Name"). If
you are submitting only one application at a time, then these are
easy to match up but in a flood of 10's at a time, it will take some
while to sort out all the messages by just the Grants.gov number. By
the way, if your submission has errors, you will learn of them in
this message. I once submitted an application that was past the
deadline and with the wrong DUNS number as part of my own training
experience. I got the confirmation message and the first email, but
the second email pointed out the various problems:
Grants.gov Tracking Number:GRANT00053573
The following errors were detected:
and ended with, the application is not being sent to the sponsor.
This came in a timely fashion but if I had sent on the exact actual
deadline, it would be too late to fix and resubmit.

The third email message has as the subject, "Grants.gov Grantor
Agency Retrieval Receipt for Application GrantXXXXXXXXX." The first
line of text is "Your application has been retrieved by the Grantor
agency and is currently being reviewed." The G.g tracking number is
given but not the useful but multi-title "Application Name."

The last message is "Grants.gov Agency Tracking Number Assignment for
GrantXXXXXXXXX." The text is, "Your application has been reviewed by
the Grantor agency and assigned a Agency Tracking Number. You will
need the Agency Tracking Number when corresponding with the Grantor
agency about your application. Use your Grants.gov Tracking Number
at Grants.gov to check your application's status and to obtain your
Agency Tracking Number. Again the useful Application Name is not
included. Most important the Agency Tracking Number IS NOT
INCLUDED! You must now to to Grants.gov, open up the "Check the
status" page, log in and find the application, by Grants.gov tracking
number. Perhaps this is a security measure, not including the actual
Agency number in the message?

There there it is for any who have not yet made a Grants.gov
submission. A confirmation message, 4 emails, and then a trip back
into Grants.gov to complete the application process. Then you have
to deal with the agency.

You can also put your internal proposal number in the Applicant
